Validity and revalidation guide

Certificate renewal: prove continued competence, not just expiry.

A renewal-readiness guide for CoCs, endorsements, and proficiency records approaching expiry or requiring revalidation.

Ghana-focused working guide reviewed 22 August 2026. GMA, the issuing administration, approved institution, or medical examiner makes the official decision.

Who this is for

Seafarers holding certificates that expire, require periodic revalidation, or need authority confirmation before the next assignment.

Intended outcome

A complete authority-ready revalidation file. Only the issuing or recognising administration can renew or revalidate the certificate.

MSA's role

We can research, organise, pre-check, and coordinate. We cannot issue the certificate, declare medical fitness, guarantee eligibility, or alter an authority's decision.

Understand the route

The pathway and its requirements.

Read the branch that matches the department, capacity, and vessel limitation. Where both branches appear, they are alternatives—not a combined qualification.

01

CoC / endorsement

Competency certificate

Revalidation normally requires continued professional competence and may depend on recent appropriate service, approved tests, training, or other administration-accepted evidence.

  1. 1

Confirm the issuing administration and exact expiry date.

  2. 2

Gather recent service appropriate to the capacity held.

  3. 3

Check medical validity and any required refresher or updating course.

  4. 4

Apply within the window and process specified by the issuing administration.

02

Safety / specialised training

Proficiency certificate

Some STCW safety competencies require refresher training or evidence of maintained competence at intervals not exceeding five years.

  1. 1

Identify every proficiency certificate and its STCW function.

  2. 2

Check whether refresher training or maintained-competence evidence applies.

  3. 3

Use an approved training provider accepted by the relevant administration.

  4. 4

Keep the renewed certificate with the underlying evidence and payment record.

Evidence file

What to gather for a proper pre-check.

The final list remains case-specific, but these records normally allow the route to be assessed without relying on memory or verbal assurances.

From file to decision

A responsible working sequence.

  1. 01

    Inventory

List every certificate, issuing country, certificate number, capacity, limitation, and expiry date.

  2. 02

    Confirm the rule

Check the issuing administration's current revalidation standard and accepted proof of continued competence.

  3. 03

    Close gaps

Complete medical, refresher, sea-service, photograph, or verification requirements before submission.

  4. 04

    Track official outcome

Keep the receipt and authority reference, then verify the updated certificate through the official register where available.

Check before you commit

Important watchpoints.

  • An expired certificate may prevent joining a vessel even when a renewal application is pending.
  • MSA reminders and pre-checks are not extensions of validity.
  • Do not alter scans or dates; submit clear copies and retain the original documents.
Accuracy and authority notice

Maritime requirements can change and may depend on certificate history, nationality, issuing administration, vessel flag, tonnage, propulsion power, voyage area, training route, medical findings, and accepted sea service. This page is educational preparation, not an eligibility letter or legal guarantee. Confirm the current requirements with the responsible authority before enrolling, paying, travelling, or relying on a deadline.
